Terms and Conditions

By booking with EDGAR ADVENTURES (“The Agency”), you acknowledge that you accept these “Terms” on your behalf and on behalf of all other participants in your group. You (the “Client”) agree to these Terms and Conditions (the “Terms”).

1. Booking Agreement

The client must distinguish between PACKAGES and TOURS:

(1) “Packages” and (2) “Tours”.

(1) Packages

This refers to tourist services lasting more than 4 days that include: transportation, entrance tickets, guided services, accommodation, and other services necessary for the operation of the contracted tour package. Packages can be booked through our website.

(2) Tours

This refers to tourist services lasting from 1 to 3 days. These may include accommodation, transportation, entrance tickets, and guided services. Tours can be booked through our website or by direct sale at our physical offices.

2. INCLUDED SERVICES

Prices include only the services specifically mentioned as included in the service confirmation.

3. SERVICES NOT INCLUDED

Any services not explicitly listed as included are not covered. For example:

  1. Excess baggage charges, visas, airport taxes, tips, personal expenses, beverages and meals not specified, special dietary arrangements, hotel extras, laundry services, VAT (IGV), and any other taxes or services not mentioned as included.
  2. Expenses due to cancellations, delays in departures or arrivals of transportation, or unforeseen circumstances beyond the company’s control such as weather events, political situations, etc.

4. PRICES

Prices are quoted in U.S. dollars (US$) and/or Peruvian Soles (S/.) based on the exchange rate at the time the “Contract” or “Booking” is made. The exchange rate from USD to local currency will be determined by “The Agency.” Any changes in service costs, taxes, fees, or exchange rates may result in a price revision.

5. DEPOSITS TO SECURE PACKAGE AND TOUR BOOKINGS

  1. To secure a PACKAGE reservation, the CLIENT must deposit 20% of the total trip price (or a minimum of US$199). Flights (domestic and international) must be paid 100% in advance to secure availability and prices. Cruise, train, and similar bookings are subject to specific deposit policies per the provider. Deposits are non-refundable. Clients who book via phone, WhatsApp, or email are assumed to have read and agreed to the terms listed on our website: www.edgaradventures.com
  2. The booking becomes final when “The Agency” receives the deposit from the “Client.” At that point, a binding contract is established between “The Agency” and the “Client,” including all persons named in the booking form. The person who signs the booking form guarantees that all named individuals are aware of and accept these terms.

6. PAYMENTS

  1. For PACKAGE bookings, the balance must be paid to EDGAR ADVENTURES no later than 30 days before the Client’s arrival. (Cruise and other specific bookings may have different policies.) If the balance is not paid by the due date, the Agency will consider the reservation canceled by the Client.
  2. For bookings made within 30 days before the Client’s arrival, the full amount must be paid immediately.
  3. Payments can be made via bank transfer, direct deposit, Western Union, PayPal, or credit card. All transaction fees are the Client’s responsibility.
  4. Our prices do not include Peruvian Sales Tax (IGV). Clients exempt from IGV must meet legal requirements. To qualify for exemption, visitors must present valid documents (passport, ID, driver’s license) proving compliance with international agreements in Peru. Visitors who have stayed more than 60 calendar days in Peru are no longer IGV-exempt. Ensure that your ID documents are clear and legible.

For groups (10 or more people) or special services/quotes, different payment terms may apply, generally requiring payment 45 days in advance.

7. Changes Requested by the Client

If the Client modifies the itinerary after receiving a confirmed travel program, any costs imposed by our providers due to such changes will be charged. “The Agency” will do its best to accommodate the requested changes, subject to availability.

Client Substitution

Reservations may be transferred to another person with written notice at least 30 days prior to arrival. Any provider fees due to the change must be covered by the Client. Some tickets (e.g., Huayna Picchu or Inca Trail) are non-transferable and must be repurchased.

8. Cancellations by the Client

If the Client cancels the reservation for reasons unrelated to the “Agency,” the cancellation must be submitted in writing. The initial deposit is non-refundable. Payments for flights, cruises, certain train services, and Inca Trail permits are also non-refundable due to provider policies.

Cancellations made less than 30 days before the tour date are subject to the following penalties:

Packages:

  • 21–30 days: 40%
  • 10–20 days: 75%
  • 7–9 days: 85%
  • 6 days or less: 100%

Tours:

  • 21–30 days: 25%
  • 10–20 days: 50%
  • 5–9 days: 75%
  • 4 days or less: 100%

For large groups (10+ people) or special services, different cancellation timelines may apply.

Partial cancellations may result in surcharges for the remaining participants (e.g., single occupancy fees).

9. Postponement by the Client

Clients may postpone their trip to any date within one year of the original arrival date and receive travel credit. Notification must be given in writing at least 30 days in advance. The new date need not be confirmed at the time of postponement.

Note: Some services and hotels may require early booking due to demand or limited availability.

Postponement Fee:

  • More than 30 days: 0%

10. Changes and Cancellations by “THE AGENCY” EDGAR ADVENTURES

“The Agency” will make every effort to operate tours as confirmed. However, due to political events, price changes, flight cancellations, weather conditions, or other unforeseen situations, “The Agency” reserves the right to change or cancel routes or prices.

“The Agency” will inform the Client immediately of the reasons for changes or cancellations. It reserves the right to cancel or modify any facilities, services, or prices (including flights, accommodation, or other services) and to replace them with alternatives of comparable value without compensation. It is not liable for loss of enjoyment due to such changes.

“The Agency” is not responsible for changes in departure/arrival times of transportation services beyond its control.

11. Passport, Visas, and Vaccinations

It is the Client’s responsibility to hold a valid passport, obtain any necessary visas, and comply with vaccination and health requirements.

12. Travel Documentation

For international travel, Clients must comply with all relevant laws. It is the Client’s sole responsibility to have all required personal and family documentation, such as visas, vaccinations, and other permits.

Clients are advised to carry their personal documents and the Andean Immigration Card (TAM) issued upon entry to Peru. This card exempts visitors from certain local taxes and may be required at airports, border crossings, and tourist sites like Machu Picchu.
